Kinfold help docs

Billing and payments

Kinfold handles tuition from invoice to payout, with every fee published.

Tuition plans

Create weekly, bi-weekly or monthly plans for full-time, part-time and drop-in care, with sibling and staff discounts. Plan changes are prorated automatically.

Invoices

Recurring invoices go out on schedule. Add one-off fees, late fees and credits. Record a refund in one step, with a reason.

How families pay

Method Where Cost
Bank debit US (ACH), Canada (pre-authorized debit) A flat fee per payment; the cheapest option
Card, Apple Pay, Google Pay US and Canada Card processing at cost, plus a 0.5% platform fee
Tap to pay, cash, cheque In person Recorded in the same ledger

Your centre decides whether to absorb card fees or pass them on where the law allows. Each centre has a fee page showing exactly what each method costs.

Split billing

Split an invoice between guardians by percent or amount, or between a family and a subsidy agency or employer. Each payer only sees their share.

Canada: CWELCC

Statements show the full fee, the CWELCC reduction and the parent amount. The funded portion is tracked as money owed to you by your funder.

US: subsidies

Record subsidy authorizations and co-pays, track expected agency payments and see a variance report of what was paid per child and period.

Failed payments

Kinfold retries failed payments on a schedule you set, reminds the family before each retry and alerts you when action is needed.

Payouts and accounting

Payouts go to your bank daily or weekly, and every payout is reconciled to invoice lines. Export to QuickBooks Online or Xero, with your fee types mapped to income categories.

Receipts

Families get receipts for every payment and an automatic year-end receipt for childcare expenses.
